Position Title: Patient Appointment Scheduler
Customer: Hampton Roads Appointment Center, Naval Medical Center Portsmouth (NMCP)
Location: 1099 Holcomb Rd, Portsmouth, VA 23708
Clearance Required: Government Security Clearance (T3 Investigation)
Current Shift Openings: 11:30am 8:00pm M-F, 6am 2:30pm M-F + rotating weekends, 7am -3:30pm M-F + rotating weekends, 8am-5pm M-F + rotating weekends

DUTIES AND RESPONSIBILITIES

A Patient Appointment Scheduler is required to provide patient appointing services over the telephone on a federal installation at the Hampton Roads Appointment Center, Portsmouth, VA, in support of Military Treatment Facilities (MTFs) in the Tidewater, Virginia area. The Patient Appointment Scheduler will make appointments and coordinate appointments with other direct care system facilities on the Composite Health Care System (CHCS) platform as required. The Patient Appointment Clerk/Scheduler will perform outgoing calls when correcting appointment errors, rescheduling or cancelling appointments. These corrections may require cancelling an appointment, rescheduling an appointment or transferring to the appropriate clinic if an appropriate appointment is not available. Patient appointments will be made using only Department of Defense (DoD) approved standard appointment types, business rules, and appointment detail codes as detailed in the Military Health System (MHS) Guide to Access Success.

Education: High School Graduate or GED.

Skill Requirements:

  • Must have active government security clearance; or undergo a T3 investigation for approval.
  • Patient Appointment Scheduler must possess appropriate customer service skills (telephone courtesy);
  • Must be familiar with basic medical terminology used with the patient appointment process;
  • Must be familiar with the terminology and the inter-relationships of the Access to Care (ATC) categories, standard appointment types, detail codes, and ATC standards and use this knowledge to match the beneficiary's request for service with the most appropriate appointment;
  • Must have knowledge of medical privacy and confidentiality procedures for Health Insurance Portability and Accountability Act (HIPPA) and accreditation standards of The Joint Commission (TJC);
  • Must be familiar with the TRICARE Health Care plan and communicate effectively with patients and other healthcare staff members;
  • Must be able to read, write, and speak English fluently;
  • Must be knowledgeable in the use of MTF telephone applications to track call volumes;
  • Must be familiar with basic or fundamental TRICARE Health Care plan benefit information (i.e. enrollment processes, access standards, care obtained within the MTF);
  • Must be able to type and have experience using computers and able to learn the Tidewater computer system;
  • Must have a working knowledge of computer applications/software to include Microsoft Office programs, MS Outlook (e-mail) and internet familiarity;
  • Must demonstrate an ability to apply critical thinking skills and expertise in resolving complicated healthcare, social, interpersonal, and financially distraught patient situations;
  • Must possess organizational, problem-solving, and communication skills to articulate medical requirements to patients, families/care givers, medical and non-medical staff in a professional and courteous manner;
  • Must have familiarity with DoD, Federal, State, non-profit healthcare system, Medicare, Medicaid, and the Veterans Administration (VA).
